1. Learning a new software product and teaching staff:
A large part of the pharmacy conversion process is software training, and we do this in 4 different steps:
- Prior to us being live on-site for pharmacy software conversion, you will have access to prerecorded, professionally edited training videos. This will help you and your staff get introduced to the system. The day prior to switching over to our software, our staff is on-site, live, and training all of your staff.
- Once the cutover to our system is complete, our staff will be there with you, running the store for a few days.
- While the videos are always accessible, we offer follow-up remote training at no cost to you.
2. Data and patient history in your current system:
You will have it all! Our pharmacy software conversion process is handled with care. We do not come on-site until you have signed off that your data is 100% complete. We provide a detailed checklist to help you review your data in our software, ensuring everything is correct and complete. The average conversion is a 6-8-week process that allows both you and Datascan Pharmacy Software to cover all bases and make sure your pharmacy is ready.

Our Process
There are many concerns that come with the thought of switching to a new pharmacy software system. Many owners would rather stay with a company that either has outdated software or needs to be servicing them well just to avoid making the change. Datascan Pharmacy Software has been doing data conversions and software training for decades. We have a methodical process, as outlined below. This is a careful process that is not rushed, and we have hundreds of clients who can testify we did not turn their businesses upside down. In fact, they were pleasantly surprised at how smooth the pharmacy software conversion went.
Datascan Pharmacy Software’s Proven Software Conversion Method for Pharmacies
- Once a signed proposal is received, our project manager reaches out for an introduction.
- The client receives our conversion packet, which includes multiple questionnaires and helpful information as they make this transition.
- The project manager coordinates with the client and our conversion company to pull the first set of data.
- Within 1-2 weeks, the client will receive a remote login to our pharmacy software with their data already there. They also receive a checklist and a walkthrough of our software. Using this information, they can check current migrated data in their system vs. what was in the old system and report any pharmacy software problems.
- During this time, the client receives login info to the back end of our site. This allows them to watch some tutorials and software training videos so they can start getting acquainted with our system.
- Any reported issues are repaired by our team of programmers and delivered as an additional data set(s) until kinks are worked out and all data is 100% good to go.
- Once the client signs off on the data as good and checklists have been followed, it’s time for the pharmacy software conversion. We then schedule a date for a live switch over with the client.
On-Site Schedule:
We will schedule 1-2 Datascan Pharmacy Software team members on-site during your change in software. This can be for 3-5 days, depending on client volume and if you are using Point of Sale.
First 30 Days: For updates to find out how we can make the software conversion experience better, our project manager will reach out to your pharmacy weekly. We ask questions to find out what you feel might be missing, anything that may be slowing your workflow down, and to address any other concerns you have. We then work as a team to enhance the overall software conversion phase for your pharmacy.
First 31-90: We will schedule an optimization training with you and your staff to go over all of the exciting features. These features help build star rating adherence and automate many of your pharmacy processes. This is a very exciting and informative instruction for pharmacies during the switch in software.
During this period, our project manager will continue to follow up with you every other week.

In fact, Kevin later amended Datascan Pharmacy Software’s software to accommodate my need regarding my “Long Term Care” business, even before I agreed to purchase their software. The data conversion was seamless, and, again, Kevin and his staff didn’t rush us to get started with WinPharm until we were completely satisfied with the data. I’ve been using WinPharm for almost a year, and there are still functionalities my staff and I are learning about. That said, WinPharm has checked off all of my boxes so far. There is so much automation and capability built into this system. It has helped optimize my staff’s time and thus reduced my costs.
The most impressive thing about Datascan Pharmacy Software is that the owner and staff are willing to listen to a client’s specific needs, adapt, and keep up with industry changes.
